Google Workspace: Gmail, Calendar, Drive, Chat and Meet

Connect your Google account and Saelyx can save your minutes to Drive, send them from your Gmail and post a summary to a Google Chat space. It can also, by voice or chat, work with your email, calendar, tasks, contacts and Drive, bring the transcript of your Meet meetings into Saelyx, and move files between Saelyx and your Drive. Each permission is granted separately, and nothing leaves your account unless you confirm it.

Pro only

Everything on this page (saving, sending, posting, the tools by voice and chat, and files) is part of the Pro plan. See Account and plans.

Connection status

Google is still verifying Saelyx. Until it finishes, the connection is open only to registered test accounts, Google may warn you that the app isn't verified yet, and your Google session may expire after a week. When the verification is done, this note goes away.

What it does and doesn't do

  • Reads your calendar to recognise the meeting and its attendees.
  • Saves the minutes (and, if you want, the transcript) to a folder in your Drive.
  • Sends the minutes by Gmail and posts a summary to a Chat space, only when you confirm.
  • Only when you ask by voice or chat, it searches and reads your email, looks at and manages your calendar, creates tasks, finds people, saves notes, searches your whole Drive, and looks at your Chat spaces and Meet meetings. See By voice and chat.
  • It doesn't go through your email on its own: without the Email (Gmail) block there is no email, and with it, it only reads what you ask for.
  • It doesn't read the messages in your Chat spaces. It sees the names of the spaces so you can choose where to post, and it only posts if you confirm.
  • It doesn't read your files in the background. It only opens a file when you choose to import it, or the watched files when you sync. With the All your Drive block it searches by name across your whole Drive; it opens no file you haven't chosen.
  • It deletes nothing from your Drive: it only creates a file or replaces the one it created itself with the same name. It doesn't delete emails or messages either. The only thing that removes anything is cancelling an event, and it asks for your yes.
  • It doesn't keep a copy of your emails or your events. It stores the account's email, one encrypted refresh token per block, your destination preferences and the state of each copy. A draft waiting for your yes (the email, event or message exactly as you're about to confirm it) is valid for 10 minutes: after that it can no longer be confirmed and is deleted automatically. What Saelyx reads in order to answer you, and how long it stays, is in the privacy policy.

Permissions by block

Google asks for each block's permission when you turn it on, and doesn't repeat the ones you already granted. Without a connected account, Saelyx accesses nothing. When you connect a block, Google lets you untick individual permissions: Saelyx uses only the ones you grant.

Block on screen What it's for Account
Agenda Read the events of your primary calendar to recognise the meeting and its attendees Personal or work
Calendar View, create, move and cancel events by voice or chat, only when you confirm. Includes the read permission Personal or work
Google Tasks Read, create and complete Google Tasks, and turn a meeting's action items into tasks Personal or work
People Look up your contacts (and, if your account belongs to an organisation, the directory) to fill in recipients and attendees Personal or work; the directory only with an organisation
Sending email Send the minutes and your emails from your account, only when you confirm. It doesn't read your email Personal or work
Repository in Drive Save minutes and notes in a "Saelyx" folder in your Drive and import the files you pick with Google's picker. It only sees what Saelyx creates or what you pick Personal or work
Email (Gmail) Search and read your email when you ask Saelyx by voice or chat Personal or work
All your Drive Search by name across your whole Drive and watch the files or folders you choose Personal or work
Google Chat See your Chat spaces (names only) and post to one, only when you confirm Google Workspace only
Meet meetings See your recent meetings and bring their transcript into Saelyx Google Workspace only

That's 10 blocks and 12 Google permissions (one of them, the directory, only with an organisation account), plus 3 basic identity ones (openid, email and profile). With a personal Google account, Chat and Meet aren't available: the screen says so ("This function isn't available with your type of Google account"). The same applies if your organisation's administrator has turned that service off.

Connect your account

  1. Open the Connections section and the Google Workspace card:
  2. Mac: Settings → Account → Connections → Google Workspace
  3. iPhone: More → Your account → Connections → Google Workspace
  4. Web: Account → Connections
  5. Read the notice about how your data is used and tap I understand and want to connect. Nothing is connected without that step.
  6. On the block you want, tap Connect.
  7. Authorise on Google's screen. When you come back, the block shows as Connected.

If the calendar is all you want, start with Agenda: the Calendar, Google Tasks and the other Suite blocks need it to be connected first.

If you ask Saelyx for something and that block's permission is missing, it tells you which one and where to grant it; it doesn't invent the content. Each block shows its status: Connected, Not connected, Expired or Waiting for your administrator.

If you cancel on Google's screen, nothing is connected. If the session expires, you see "Google has stopped giving access" and a Reconnect button. If Google grants only part of a block's permissions, the block stays incomplete: the tools whose permission you granted keep working and Saelyx doesn't ask for the rest again unless you want it to.

Where minutes are saved

On the sheet, under Where minutes are saved:

Setting Values Default
Folder A folder in your Drive: the "Saelyx" one the app creates, or one (or a shared drive) you choose with Google's picker Saelyx
Save the minutes automatically Yes / No Yes
Also save the transcript Yes / No No

Tap Save to apply the changes ("Settings saved"). Automatic saving starts when you save the settings for the first time.

Careful

The transcript includes the voices of the other people in the meeting. Save it only if they know.

With automatic saving on, the minutes are copied by themselves once they finish processing (see What happens by itself). The minutes are saved as a Word document (.docx), in one folder per meeting; the transcript as text (.txt). To save by hand, open the meeting and use Meetings → the meeting → share → Google Workspace → Save to Drive. Under Recent copies you see each copy's state (Pending, Saving…, Saved or Failed), you can Open one that's already saved and Retry one that failed.

If the content and the destination haven't changed, Saelyx doesn't upload the copy again.

Send the minutes by Gmail or to Chat

Sending always happens in two steps.

  1. Open the meeting and choose Google Workspace → Send by Gmail… (or Post to Chat…).
  2. Saelyx prepares the draft. For Gmail it looks for the event in your calendar (if it doesn't find one, use Choose the event), suggests the attendees as recipients and lets you add addresses. For Chat, you choose the space. You can write a note of up to 500 characters.
  3. Check the Preview, which includes a sentence saying what will happen. In Gmail, the minutes go in the body of the email and, if they aren't too big, as a Word attachment.
  4. Tap Send. You'll see "Sent to N people".

The draft is single-use and expires after 5 minutes. If the minutes change after the preview, or the draft expires, tap Prepare again. The email goes out from your own Gmail and the Chat message goes out in your name. There is a cap of 25 sends a day and 50 recipients per send.

Careful

Saelyx can't undo an email that has already been sent or a message that has already been posted. If you see "We don't know whether it was sent. Check the Sent folder before trying again", check Sent (or the Chat space) before repeating it.

By voice and chat

With the blocks granted, ask Saelyx for what you need with your voice (Mac, iPhone and iPad) or in the web chat. There are 25 tools, grouped by block. Saelyx picks them itself; you speak as usual.

Block What you can ask Examples
Email (Gmail) Search email with Gmail's search syntax (sender, text, days, unread) and read one in full "Which unread emails do I have this week?", "Read me the latest email from the accountant"
Sending email Draft a new email or reply inside a thread "Reply that I'll look at it on Thursday", "Write to my team with today's summary"
Calendar See your upcoming events and create, move or cancel one, with a Meet link if you ask "What do I have tomorrow afternoon?", "Create a meeting on Thursday at ten with a Meet link", "Move the five o'clock one to six"
Google Tasks List, create and complete tasks, and turn a meeting's action items into tasks "Add calling the supplier on Friday", "Mark the report one as done", "Turn today's meeting action items into tasks"
People Look someone up by name, with their email and job title, to fill in recipients or attendees "Find that person in Finance and tell me their email"
Repository in Drive Save a note as a Google Doc in your "Saelyx" folder; search, import, save and sync files "Save this as a note in Drive", "Save that report to my Drive"
All your Drive Search by name across your whole Drive and add files or folders to the watched ones "Find the accountant's contract in my Drive", "Watch that folder"
Google Chat See your spaces and post a message or a meeting summary to one "Which spaces do I have with Product?", "Post the summary to that space"
Meet meetings See your recent meetings that have a transcript and import it into Saelyx "Which Meet meetings do I have transcribed?", "Bring in yesterday's transcript"

There are also two support tools, confirm and discard, which close the second step of anything that needs your yes. For a meeting's tasks, the minutes menu has Send action items to Tasks (up to 25 per set of minutes, in the "Saelyx · Minutes" list; repeating it doesn't duplicate anything).

With a personal Google account everything works except Chat and Meet.

What needs your confirmation

What leaves your account is never executed the first time:

  • sending an email or a reply,
  • creating, moving or cancelling an event (also if it's only on your calendar),
  • posting to a Chat space.

Saelyx prepares the draft, reads it to you (to whom, what and when) and waits for your "yes". Only then does it do it, and until you confirm it doesn't say "sent" or "created". If you say no, it discards it. The confirmation is single-use and expires after 10 minutes. If it expires, ask again. Saelyx is built to wait for your answer before confirming and to treat what it reads from emails, tasks, files and meetings as data, not as orders; still, listen to the draft before you say yes.

It does not ask for what is yours, private and reversible: reading and searching (email, calendar, people, tasks, spaces, meetings, files), creating and completing tasks, saving notes in your Drive, and moving files between Saelyx and your Drive.

The cap of 25 sends a day counts emails, Chat messages and events that notify other people (inviting, or moving or cancelling with attendees), the same as sending the minutes. An event only on your own calendar doesn't count.

Careful

Saelyx can't undo an email that has already been sent or an event cancelled with a notice to the attendees. Listen to the draft before you say yes.

What it reads from your email

When searching, it returns up to 25 results with sender, subject, date and a snippet. When opening one, it also gets the recipients, the body and the names of the attachments (it doesn't open attachments). The assistant receives at most 6,000 characters of text per reading, marked as third-party text. Saelyx doesn't copy your mailbox and reads an email only when you ask it to. What it reads is part of the conversation and is kept for the periods in the privacy policy (in chat, 24 hours from your last message; if Saelyx quotes or summarises it, it stays in the conversation panel for 90 days; by voice, it passes through the voice provider, which keeps the transcript for up to 30 days). It doesn't enter the memories or skills Saelyx learns from you, and it isn't handed to the connector for Claude.

Files in both directions

From Saelyx to your Drive

You can save the minutes, the transcript or a Saelyx file (the one you upload with "+" or the one Saelyx drafts) to your Drive folder. By voice: "Save that report to my Drive". If there is already a file with the same name that Saelyx created, it is replaced without notice; Saelyx never touches or replaces what you created yourself.

On the web, Account → Repository → What is saved → Also copy every new file makes that copy by itself for every new file. It's off by default.

From your Drive to Saelyx

You can bring a file of yours into Saelyx. Saelyx keeps a copy and the original isn't touched. There are two destinations:

Destination What it accepts Limit
Files PDF, Word, PowerPoint, Excel, PNG and JPG images, HTML pages and text (including Markdown, CSV, JSON and code) 25 MB
Your knowledge (a base of your own) Text and HTML only: .md, .txt, .csv, .json, .log, .rst, .html and similar 2 MB
  • With Google's picker (web, Mac and iPhone). You choose the file in Google's picker and Saelyx opens only that one. On the Mac and iPhone, the picker opens in the browser. With the Repository in Drive block alone, Saelyx only sees what it created or what you choose here.
  • By voice. "Find the accountant's contract in my Drive" and "Import it into my files". With the All your Drive block, Saelyx searches by name across your whole Drive; without it, only among what you've opened or created with Saelyx, and it tells you so.
  • Google Docs come in as Word or Markdown (up to 10 MB), Sheets as CSV and Slides as PDF.
  • If you import the same unchanged file twice, it isn't repeated; if it changed in Google, the copy is updated. If the base already has another, different file with that name, the new one is saved with a suffix and overwrites nothing.

Watched files

On the web, Account → Repository → Watched files lets you choose the files (and, with the All your Drive block, whole folders, which you can extend by hand) and a knowledge base of your own. When you tap Sync now (or ask by voice: "Sync my files"), Saelyx brings into the base what is new or changed and removes from the base what you deleted in Drive. Only text and HTML files up to 2 MB come in; the rest count as "Skipped". What you uploaded by hand or imported with the picker is never deleted. It doesn't sync on its own: only when you ask. Google doesn't notify Saelyx of changes, and Saelyx doesn't watch in the background.

Note

With the Repository in Drive block, Saelyx only sees what it creates or what you choose with the picker. With All your Drive it can search by name across your whole Drive, but it never writes outside its folder or deletes anything, and it only opens what you choose to import or sync.

On the Mac and iPhone, automatic file copying, the picker and watched files are set up on the web; by voice you can search, import, save and sync.

Chat and Meet

Chat and Meet are for Google Workspace accounts only (work or school).

  • Chat. Saelyx sees the names of your spaces (by default, named spaces; not your direct messages) and warns you if a space admits people from outside your organisation. It posts, in your name and only with your yes, a message or a meeting summary (up to 4,000 characters). It doesn't read the messages already in the space. If your administrator hasn't turned on the Chat app for your organisation, you'll see that Chat isn't available.
  • Meet. Saelyx lists your recent meetings (by default from the last 30 days, up to 90) that have a transcript and, when you ask, brings it into Saelyx as a text file. A transcript only exists if your Workspace edition includes it and it was turned on in the meeting; Google keeps it for 30 days, so import what you want to keep before it expires. If the transcript is very long, the beginning comes in and Saelyx tells you. It reads the Meet transcript, not the document Meet leaves in the organiser's Drive.

Careful

A transcript includes the voices of everyone in the meeting. Import it only if they know, as with Meeting Mode.

What happens by itself

  • When a meeting ends. When the minutes are ready, Saelyx notifies the Google module in the background and, if you meet the conditions, copies them to your Drive. The conditions: Pro plan, the Repository in Drive block granted, the session in force, having saved the settings at least once and "Save the minutes automatically" on. The transcript is only copied if you turned on "Also save the transcript". If the notification fails, the minutes aren't touched; you can make the copy by hand from the meeting.
  • When you download your data on the web. The export file includes a Google Workspace section with your repository preferences and the state of each copy (file name, link, state and date), and the connection data without tokens. It never includes credentials or the content of your Drive, email or events.
  • In backups. The .zip carries that same section: preferences and copy state. It carries no drafts waiting for confirmation and no tokens. Restoring a backup does not reconnect your Google account or recover those preferences: you'll need to connect again and choose the destination again. See Privacy and your data.

None of this writes to Google by surprise: automatic copying only creates, or replaces, the file with the same name that Saelyx created in the folder you chose.

Time zone

When you ask about your calendar, Saelyx understands and says times in the time zone of your device: the iPhone and the web send it with each request (the web, your browser's). If you say "at ten", the event is at ten where you are. If no zone arrives, it uses Madrid's (Europe/Madrid).

If something fails

Message (shown in Spanish) What to do
«No tienes Google conectado» (you don't have Google connected) Connect it from the Google Workspace card

«La confirmación ha caducado» (the confirmation has expired) Prepare the send again
«Has llegado al tope de 25 envíos al día» (you've reached the 25-a-day cap) You can send more tomorrow
«Google está limitando las peticiones» (Google is limiting requests) Wait a bit and retry
«La transcripción ya no está disponible…» (the transcript is no longer available) Google's period (30 days) has passed; only the minutes can be copied
«El archivo es demasiado grande para importarlo.» (the file is too big to import) Choose a smaller one (25 MB to Files, 2 MB to a base)
«Saelyx no admite este tipo de archivo.» (Saelyx doesn't support this file type) Choose another format; only text and HTML go into a base
«No se ha encontrado esa base de conocimiento.» (that knowledge base wasn't found) Choose a base of your own; system bases don't accept imports

If your organisation blocks the permission

Some Google Workspace organisations only allow apps approved by an administrator. You'll then see "An administrator in your organization has to approve Saelyx", with two buttons: Open the administrator guide and Copy message for my administrator. Google doesn't offer an approval link like Microsoft's: the guide explains, step by step, how to add Saelyx by its client ID in the Admin console, with each block's permissions. It's on the administrators page.

Disconnect

On the sheet you can disconnect one block (Disconnect on its row) or everything (Disconnect Google). A block is disconnected without touching the others, except that disconnecting Agenda also disconnects Calendar, which depends on it. When you disconnect, Saelyx deletes the token and the connection data of those blocks. It does not delete what you imported from Google: it stays in Saelyx like any other file, you delete it whenever you want, and deleting your account deletes it all. What is already in your Drive, email or calendar isn't deleted, and you can reconnect whenever you want.

Note

Disconnecting a single block doesn't remove the permission in Google, because Google revokes all of Saelyx's permissions at once. To remove it, go to "Security › Your connections to third-party apps and services" in your Google account or, for a work account, ask your administrator to do it in the Admin console. Disconnect Google (everything) does revoke Saelyx's access in Google.
